Privacy Policy

Retail Operations Toolkit ("we", "our", "the site") respects your privacy. This policy explains what information we collect, how it is stored, how we use it, and your rights. We try to keep this page accurate and aligned with what the site actually does — if you spot a gap, please use the contact form.

1. Information We Collect

We only collect information that you actively submit. Specifically:

  • Contact form — name, email address, and the message you send.
  • Lead capture / download form (used when you download a free template or PDF resource) — name and email address, plus the slug of the resource or template you requested.
  • Newsletter signup — email address only.
  • Download tracking — when you complete a lead form and download a file, we log the slug of the file, the time of the download, and your browser's user-agent string and referring URL. This is used only for product analytics (which templates are most useful) and is not sold or shared.

We do not collect payment information, government IDs, precise geolocation, or sensitive personal data. Submitting any form is voluntary and you can use most of the site (calculators, articles, benchmarks) without providing any data.

2. Newsletter Subscription on Download

When you submit your email to download a free template or PDF resource, the email is also added to our newsletter list. This is disclosed on the lead capture form ("No spam. Unsubscribe with one click."). At present we do not yet send any newsletter emails; we will only begin sending after a separate confirmation/opt-in step. You can request removal at any time via the contact form, and an unsubscribe link will be included in every newsletter once they begin.

3. Where Your Data Is Stored

All form submissions are stored in a managed MongoDB database. Access is restricted to the site operator. We retain submission records for as long as needed to respond to your inquiry, deliver the resource you requested, and operate the newsletter — typically up to 24 months — after which inactive records are deleted.

4. Cookies, Local Storage & Analytics

The site uses cookies and browser local storage in two narrow ways:

  • Essential storage — we save your cookie-consent choice in your browser's local storage under the key rot_cookie_consent. This is required for the consent banner to remember your preference.
  • Analytics & advertising (planned, not yet active) — the site is prepared to load Google Analytics, Microsoft Clarity, and Google AdSense if and when the operator configures the required identifiers. At the time of writing, none of these scripts are loaded on production and no analytics or advertising cookies are set by us. When they are enabled, they will only run after you click "Accept all" on the consent banner. If you choose "Essential only", no analytics or advertising scripts will be loaded.

We will update this page on the same day any analytics or advertising integration is switched on.

5. Advertising (Future)

When Google AdSense or partner ad networks are enabled, third-party vendors may use cookies to serve personalized ads based on your prior visits to this and other sites. You may opt out of personalized advertising via Google's ad settings or aboutads.info. Until ads are enabled, no third-party ad cookies are set by this site.

6. Sharing & Third Parties

We do not sell your data. Submissions are visible only to the site operator and are processed through the following providers: MongoDB (database hosting), Vercel (web hosting and request logs), and — once enabled — Google (Analytics, AdSense) and Microsoft (Clarity). Each of these providers has its own privacy policy.

7. Your Rights

You can ask us to:

  • Confirm what data we hold about you;
  • Correct or update your data;
  • Delete your data;
  • Unsubscribe you from any future newsletter.

Send any of these requests via the contact form. We will respond within 30 days. If a business email address becomes available, it will be published on the contact page.

8. Children

This site is not directed at children under 16. We do not knowingly collect data from children. If you believe a child has submitted information, please contact us and we will delete it.

9. Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top will always reflect the most recent change. Material changes (such as enabling advertising or analytics) will be reflected here on the same day.
